1. Information We Collect
1.1 Information You Provide Directly
- Account Information: Name, email address, business name, phone number, and password when you register.
- Business Profile Data: Business type, industry, location, revenue, employee count, ownership demographics, and other details you enter to enable grant matching.
- Grant Application Content: Business descriptions, financial information, project narratives, and other content you provide or that our AI generates on your behalf.
- Payment Information: Billing details processed securely through ThriveCart and Stripe. We do not store full credit card numbers.
- Communications: Messages you send us via email or contact forms.
1.2 Information Collected Automatically
- Usage Data: Pages visited, features used, time spent, clicks, and navigation paths.
- Device and Browser Data: IP address, browser type, operating system, and device identifiers.
- Cookies and Tracking: We use cookies for session management, analytics, and marketing. See Section 6 for details.
1.3 Information from Third Parties
- Grant Databases: We aggregate publicly available grant opportunity data from government and private sources.
- Payment Processors: ThriveCart and Stripe may share transaction confirmation data with us.
- Email Marketing: Mautic (self-hosted) manages our email communications and tracks open/click rates.
2. How We Use Your Information
- Service Delivery: To match your business profile with relevant grant opportunities and generate AI-assisted application drafts.
- Account Management: To create and maintain your account, process payments, and provide customer support.
- AI Processing: Your business data is sent to AI models via OpenRouter to generate grant content. We use reputable providers with data protection agreements.
- Communications: To send transactional emails, product updates, and with your consent, marketing messages.
- Analytics and Improvement: To understand how users interact with our platform and improve our features.
- Legal Compliance: To comply with applicable laws and protect our legal rights.
3. AI-Generated Content and Data Processing
SubmitGrants uses artificial intelligence to assist with grant writing. When you use our AI features:
- Your business profile data and grant details are transmitted to AI model providers (currently OpenRouter) to generate content.
- AI-generated content is a draft only - you are responsible for reviewing, editing, and verifying all content before submission to any grant program.
- We do not guarantee the accuracy, completeness, or success of AI-generated grant applications.
- AI providers process data under their own privacy policies and data processing agreements.
4. How We Share Your Information
We do not sell your personal information. We may share data with:
- Service Providers: Hosting (Contabo VPS), payment processing (ThriveCart, Stripe), AI processing (OpenRouter), email (Mautic/SMTP), and analytics tools - all under data processing agreements.
- Legal Requirements: When required by law, court order, or to protect our rights and safety.
- Business Transfers: In connection with a merger, acquisition, or sale of assets, with notice to you.
- With Your Consent: For any other purpose with your explicit consent.
5. Data Retention
- Account data is retained while your account is active and for 90 days after deletion request.
- Grant application drafts are retained for the duration of your subscription plus 30 days.
- Payment records are retained as required by law (typically 7 years).
- You may request deletion of your data at any time by emailing submitgrants@intentures.com.
6. Cookies and Tracking Technologies
- Essential Cookies: Required for login sessions and core functionality.
- Analytics Cookies: Help us understand usage patterns.
- Marketing Cookies: Used to track email campaign effectiveness via Mautic.
You can control cookies through your browser settings. Disabling essential cookies may impair functionality.
7. Your Rights
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate data.
- Deletion: Request deletion of your personal data.
- Portability: Request your data in a machine-readable format.
- Opt-Out: Unsubscribe from marketing emails at any time.
- California Residents (CCPA): You have the right to know, delete, and opt out of the sale of personal information. We do not sell personal information.
8. Security
We implement industry-standard security measures including HTTPS/TLS encryption, access controls, and regular security reviews. No system is 100% secure. Please use a strong, unique password and notify us immediately of any suspected unauthorized access.
9. Children's Privacy
SubmitGrants is intended for business owners and is not directed at children under 13. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on our website. Your continued use of SubmitGrants after changes constitutes acceptance of the updated policy.
